Terms of Service

1. Agreement

By subscribing to Clinica AI ("Service"), the dental clinic ("Client") agrees to these terms. If you do not agree, do not use the Service.

2. Service Description

Clinica AI provides an AI-powered voice receptionist that answers phone calls, manages appointments, and sends SMS confirmations on behalf of the Client's dental clinic. The Service includes a web-based dashboard for analytics, settings, and patient notes management.

3. Subscription and Payment

The Service is billed monthly at the rate agreed upon during onboarding. A one-time setup fee is charged at the start of service. All fees are in Egyptian Pounds (EGP) and are due on the 1st of each month. Failure to pay within 14 days may result in service suspension.

4. Service Level

We aim for 99.5% uptime for the voice agent and dashboard. Scheduled maintenance will be communicated at least 24 hours in advance. We are not liable for downtime caused by third-party providers (Google, Twilio, telecoms) or force majeure events.

All patient data, call logs, notes, and appointment records belong to the Client. Clinica AI processes this data solely on behalf of the Client. The Client may request a full data export at any time. Upon termination, all data will be made available for download or deleted within 30 days at the Client's request.

7. Limitations of the AI

The AI voice agent is designed to handle standard appointment booking, cancellation, and rescheduling. It is not a medical professional and does not provide medical advice. For emergencies or complex requests, the AI will attempt to transfer the call to the clinic's designated staff. Clinica AI is not liable for missed appointments, miscommunications, or patient dissatisfaction arising from AI interactions.

8. Cancellation

Either party may terminate the Service with 30 days written notice. There are no long-term contracts or cancellation penalties. The one-time setup fee is non-refundable. Monthly fees are non-refundable for partial months.

9. Modifications to Service

We may update features, pricing, or these terms with 30 days notice to the Client. Continued use after changes take effect constitutes acceptance.

10. Limitation of Liability

Clinica AI's total liability for any claim arising from the Service shall not exceed the amount paid by the Client in the 3 months preceding the claim. We are not liable for indirect, incidental, or consequential damages.

11. Governing Law

These terms are governed by the laws of the Arab Republic of Egypt. Any disputes shall be resolved in the courts of Cairo, Egypt.
