Service Duration Policy

1. Nature of Delivery

Clinica AI is a digital service — there is no physical product shipped or delivered. The service is activated remotely and accessed online through a web-based dashboard and AI voice system connected to the clinic's phone line.

2. Onboarding & Activation Timeline

Once payment is received and the onboarding form is completed, the setup process follows this timeline:

Total estimated activation time: 1–3 business days from completed onboarding. We aim to have all clinics live within 48 hours in most cases.

3. Service Availability

Once activated, the service is available 24/7. The AI voice agent answers calls around the clock according to the clinic's configured business hours and schedule. The dashboard is accessible at any time from any device with internet access.

4. Subscription Period

The service operates on a monthly subscription cycle. Each billing period begins on the date of activation and renews automatically every 30 days unless cancelled with 30 days written notice.

5. Service Modifications

Changes to clinic settings (doctors, services, business hours, closures) can be made at any time through the dashboard and take effect immediately. Major changes such as adding new phone numbers or changing the subscription plan may take 1–2 business days to process.

6. Service Suspension & Reactivation

If a subscription payment is not received within 14 days of the due date, the service may be temporarily suspended. Reactivation occurs within 24 hours of receiving the outstanding payment. No additional fees are charged for reactivation.
